Configure your WhatsApp Business number, message templates, and notification preferences.

Your WhatsApp Business Profile

After connecting, your WhatsApp Business profile includes your business name, logo, and a short description. Customers see this when they receive or reply to your messages.

To update your profile:

  1. Go to Marketing → WhatsApp → Settings
  2. Click Edit Profile
  3. Update your business name, profile photo, and about text
  4. Click Save
Tip

Use your actual business name and logo so customers recognise who the message is from. A complete profile also builds trust and improves deliverability.

Phone Numbers

Your WhatsApp Business account can have one or more registered phone numbers. Each number has its own:

  • Display name (the name customers see)
  • Messaging limit (how many unique customers you can contact per day)
  • Quality rating (Meta rates your number based on how customers respond)

To see your registered numbers, go to Settings → Phone Numbers.

Improving Your Messaging Limit

New numbers start with a limit of 250 unique conversations per day. Meta automatically increases this as you send messages and customers respond positively. The tiers are:

  • 250 conversations/day — new accounts
  • 1,000 conversations/day — after positive engagement
  • 10,000 conversations/day — further engagement
  • 100,000+ — available on request

Message Templates

WhatsApp requires all outbound marketing messages to use pre-approved templates. Templates are standardised message formats that Meta reviews before you can use them.

Viewing Your Templates

Go to Settings → Message Templates to see all your approved templates and their status.

What Templates Look Like

A template is a message with fixed text and optional variables. Variables are filled in when the message is sent. For example:

Hello {{1}}, your order {{2}} has been shipped! Track it here: {{3}}

When sent, {{1}} becomes the customer's name, {{2}} becomes the order number, and {{3}} becomes the tracking link.

Creating a Template

  1. Go to Settings → Message Templates → New Template
  2. Choose a category:
    • Utility — for order updates, confirmations, reminders
    • Marketing — for promotions, new arrivals, offers
  3. Write your message, using {{1}}, {{2}} etc. for personalisation
  4. Add a header (optional) — text, image, or document
  5. Add buttons (optional) — Quick Reply or Call to Action (e.g. "Shop now" linking to your store)
  6. Submit for review

Meta typically reviews templates within 24 hours. You'll see the status update in your templates list.

Transactional Notifications

Transactional messages (order confirmations, shipping updates) are sent automatically and don't require customer opt-in or template approval:

  1. Go to Settings → Notifications
  2. Toggle on the messages you want to send automatically:
    • Order confirmed — sent when a customer places an order
    • Order shipped — sent when fulfilment is created
    • Order delivered — sent when marked as delivered
  3. Choose which template to use for each notification type
  4. Save
